Deposits
All reservations will require a valid credit card to guarantee equal to the first night’s stay, inclusive of tax, as a deposit. Hotels may cancel room reservations without notification if the deposit cannot be processed with a valid credit card prior to your scheduled arrival.
Changes/Cancellations
Changes and cancellations to existing reservations may be made online or by contacting the Housing Bureau prior to 14 July. Any changes or cancellations after this date must be sent directly to the hotel without guarantee of refunds. At many hotels, any guaranteed room reservations not cancelled 24-72 hours prior to arrival and not used will subsequently be billed by the hotel to the credit card on file and any deposits will be forfeited.
No Show Policy
If you do not arrive on the confirmed date of arrival, and do not notify the hotel of the change/cancellation, the hotel will charge a penalty equivalent to the first night’s room rate, including taxes.
A Note about Calling to Confirm Reservations
Please refrain from calling the hotel to confirm your reservations until after 14 July. Please understand that processing your reservations through the Housing Bureau into the hotel system will not occur until that date. Be assured that if you have received a confirmation number from the Housing Bureau, the hotel will honor your booking. Thank you for your consideration.
Multiple Room Requests
You can reserve up to five rooms online with individual names and use only one credit card. You may use multiple credit cards for payment.
Suite Requests
Please contact the Housing Bureau to request a suite. It is highly recommended that a standard hotel room also be reserved in the event the suites are unavailable. Standard cancellation and deposits will apply to suites as well.
Early Departure Policy
In the event you wish to checkout prior to your confirmed checkout date, the hotel may charge an early checkout fee. To avoid this fee be sure before or during check in to advise the hotel of any changes in your length of stay. It is suggested that changes in departure dates are provided at least 72 hours prior to check in.
Transportation
When choosing your hotel please consider the mode of transportation available to your hotel. All hotels in downtown San Antonio are at least 15-20 minutes from the airport. Please visit the Travel and Transportation section of the website for more details on local transportation.
